Privacy Policy

Overview

At EvalSuite, we take your privacy seriously. This policy explains how we collect, use, share, retain, and protect account data, reviews, meeting notes, connected-service data, and optional AI feature content.

Third-Party Integration Data

If you connect services such as Google Workspace, Google Calendar, or Zoom, EvalSuite may access profile information and the provider data needed for the authorized scheduling, directory, or transcript workflow.

  • Google Workspace data is used only to import organization directory information into the customer workspace.
  • Google Calendar data is used only to create, update, or cancel 1:1 meeting events for users who individually connect their own calendars.
  • Google Workspace directory data can include names, primary email addresses, job titles, departments or org units, reporting relationships, group memberships, and profile photos when available.
  • Google Calendar event data can include event titles, start and end times, time zones, attendee email addresses, and conferencing details.
  • Zoom data can include the host account identifiers needed to bind an authorized Zoom host, Zoom meeting metadata needed for scheduled meetings, and transcript artifacts from cloud recordings when you authorize those workflows.
  • The current rollout uses post-meeting Zoom transcripts only. Live in-call Zoom transcript access is planned for a later release and is not part of the current product.

Connected Service and AI Limits

EvalSuite uses connected-service data only for the user-authorized workflow or another disclosed, user-facing feature.

  • We use Zoom meeting and transcript data only for the authorized scheduling, recap, coaching, and follow-through workflow inside EvalSuite.
  • We do not sell Google user data
  • We do not sell Zoom user data
  • We do not use Google user data for advertising
  • We do not use Zoom user data for advertising
  • We do not use Google user data to create, train, or improve generalized AI or machine learning models, including third-party models.
  • We do not use Zoom user data to create, train, or improve generalized AI or machine learning models, including third-party models.
  • The use of information received from Google API Services will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
  • Optional AI features may send the minimum necessary content and context to Cerebras, our current AI service provider, only to generate the feature you invoked.

Service Providers

EvalSuite shares data with service providers only as needed to run the service, provide the feature you requested, meet security obligations, or comply with law.

  • Core providers include infrastructure, authentication, email, analytics, and Cerebras for user-invoked AI features.
  • We do not transfer Google user data to advertising platforms, data brokers, or information resellers.

Your Rights and Choices

You can access, correct, or delete your personal information subject to applicable law and your organization settings.

  • Disconnect Google, Microsoft, Zoom, and other supported integrations at any time from Settings > Integrations.
  • Removing Zoom in EvalSuite or Zoom App Marketplace stops future Zoom scheduling and transcript ingress for that host and clears the stored Zoom OAuth credentials and host account identifiers tied to that connection.
